Most people do not want to think about the vege shop every week. This is what it looks like when you only have to think about it once.

Nina signs up, browses her local hub and picks a produce bag. She takes the broccoli out because nobody at home eats it, doubles the mandarins, and pays through her banking app. Then she sets it to repeat, and tells it to remember those changes for every bag after this one.

That is the last time she has to do any of it. Each week the bag is built for her and an email shows exactly what is coming. She has from Monday until midday Wednesday to change it or skip a week. After that it is placed automatically and turns up on Friday.

The produce comes from the same growers who supply the supermarkets, it is packed by volunteers at a community venue, and the items she takes out go to the local foodbank.

What funders actually look at

There's a particular kind of dread that sets in when the funding cycle comes round. A grant deadline is closer than you thought. A community trust wants an interim update. Last year's main funder needs a report before they'll consider the renewal. And you're trying to figure out, from a year's worth of
WhatsApp messages and a paper logbook, how many people you actually fed.

Most funders care about the same three numbers. If you capture slightly more than today needs, at the moment of the parcel, the reports start writing themselves.

Stocktake without spreadsheets

Stocktake on a paper-based system is one of those jobs every foodbank coordinator dreads. Someone prints the list. Half the team starts counting. Then a delivery arrives and the whole thing falls apart.

The pain isn't the counting. It's that stocktake has become a special event you brace for, instead of something that's just true at any given moment.

Pickup days & capacity: what to do when you hit your limit

Every foodbank that runs on fixed pickup days hits the same wall sooner or later: more requests than parcels your team can actually pack on the day.

The answer isn't to do less. It's to name your capacity, communicate it before people are at the door, and treat extras as a choice rather than an accident.
